Attunement User Guides & Daily Operations ​

Standard operational workflows for Foundation curators, communications personnel, and researchers capturing and managing cultural discourse.


1. Desktop Ingress Workflow (Browser Extension) ​

Personnel monitoring public conversations, exhibitions, or research literature should utilize the browser extension to gather external articles and discourse with a single click.

  1. Navigate to the online article, critical review, or essay in Chrome or Firefox.
  2. Click the pinned KaraKeep icon in the toolbar.
  3. The record is instantly ingested into ToFF Attunement, with full-page snapshots, readability text, and cover images captured autonomously.

2. Mobile Ingress: iOS Share Sheet Setup & 1-Tap Archival (Video SOP 1) ​

Once authenticated in the mobile app, configure the native iOS Share Sheet to pin KaraKeep to your Favorites bar. This enables instant 1-tap ingestion from Apple Photos, Instagram screenshots, Safari articles, X posts, or files.

Step-by-Step Configuration Protocol: ​

  1. Trigger Share Sheet: Open any image (e.g., in Photos or a screenshot of an Instagram post) or webpage, and tap the native iOS Share icon.
  2. Access App Customization: In the primary horizontal row of app icons (where AirDrop, Messages, and Mail are displayed), scroll all the way to the right and tap More (...).
  3. Edit App Favorites: In the Apps dialog, tap Edit in the top-right corner.
  4. Pin KaraKeep to Favorites: Scroll down to the Suggestions or Other Apps list, find KaraKeep, and tap the green + icon next to it. This promotes KaraKeep into your primary Favorites list.
  5. Reorder for Instant Access: (Optional) Use the drag handles on the right to move KaraKeep toward the beginning of your Favorites row.
  6. Save Configuration: Tap Done in the top-right corner.
  7. Execute 1-Tap Archival: From now on, whenever you capture a screenshot, social post, or press article, simply tap the Share icon and select KaraKeep directly from the primary row. The record is ingested immediately.

3. Post-Ingest In-App Management: Tags & Lists (Video SOP 2) ​

Immediately after saving an item via the iOS Share Sheet, a confirmation banner appears. Tapping Manage opens the item directly inside the KaraKeep iOS application for organizational curation and access control.

Demonstration A: Semantic Tagging ​

  1. In the asset detail screen, tap the Tags field.
  2. Enter or select standardized institutional tags (e.g., #Instagram, #Press, #Dialogue, #Exhibition2026, #TomHouse).
  3. Adding tags enables rapid faceted search and cross-collection indexing across both mobile and desktop interfaces.

Demonstration B: Workspace List Governance & Confidentiality Boundaries ​

Institutional security requires deliberate workspace assignment. Every record must be directed to its appropriate list based on access permissions:

1. Social Media & Public Updates: This operational repository is accessible to the communications team, staff curators, and social media managers (including Allen). Use this list for public community discourse, marketing assets, exhibition coverage, and open press clippings.

2. Board Members Only: This repository is strictly confidential and isolated exclusively for Foundation Trustees. Non-board staff cannot view this workspace or any records contained within it. Assign all sensitive legal inquiries, executive governance matters, private donor communications, and board memoranda to this list.

  1. In the item detail screen, tap Lists.
  2. Select either Social Media & Public Updates or Board Members Only depending on the sensitivity and target audience of the record.
  3. Tap Done to save the changes. The record is now correctly tagged, categorized, and protected by role-based access boundaries.

4. Video & Multimedia Operations ​

Direct Streaming Playback ​

Personnel do not need to download multi-gigabyte media files to their local devices to review content:

  • Click any video card on desktop or mobile to launch the embedded HTML5 player.
  • Features include instant scrubbing, variable playback speed, full-screen expansion, and native audio leveling.

Archival Annotations ​

Social media captions frequently lack institutional context. Add notes to enhance historical provenance:

  • Select the Note section on the asset card.
  • Enter structured provenance details (e.g., "Curator walkthrough at Tom House discussing 1970s graphite works with visiting Scandinavian delegation").
  • All contextual notes are fully indexed by the platform search engine, enabling full-text retrieval by speaker, event, or topic.

Lossless Master Export & Editorial Reuse ​

When creative or social media teams require footage for promotional reels, newsletters, or institutional retrospectives:

  • Open the target video asset.
  • Select Download from the options menu to retrieve the unmodified, high-bitrate master MP4 file.
  • This eliminates the need to request original files from external platforms or reconstruct deleted footage.
