This operational guide details the end-to-end workflow for authoring surveys, configuring branching logic, enforcing Foundation typography, distributing links, and auditing submissions in ToFF Form.

System Operations & Engineering

This operational system is configured, deployed, and managed by CultureOS. CultureOS is an AI-native practice helping cultural institutions modernize digital infrastructure, archives, and research workflows responsibly.

Workflow 1: Creating a Survey ​

  1. Navigate to the Surveys tab and click "New Survey" in the top right.
  2. Select between:
    • Start from Scratch: Build a custom questionnaire tailored to your project.
    • Foundation Templates: Select from pre-configured blueprints, including 2026 Emerging Artist Scholarship, Exhibition Experience Survey, or Annual Contributor Feedback.
  3. Add and arrange question modules according to your intake requirements:
    • Free Text (Short / Long): For qualitative reflections, artist statements, or bios.
    • Single / Multi-Select: For demographic categorization or multi-choice preferences.
    • Rating & NPS: For museum experience or programmatic satisfaction scoring.
    • File Upload: For portfolio PDF submissions, CV attachments, and high-resolution artworks.
    • Consent Checkboxes: Mandatory for GDPR / CCPA privacy acknowledgments.

Workflow 2: Advanced Logic & Dynamic Branching ​

To keep forms concise and prevent respondent cognitive overload:

  1. Hover over any question card and click Logic (Branching).
  2. Define conditional jump conditions:
    • Example: IF Question 2 (Are you applying for the Artist Residency?) EQUALS "Yes" THEN JUMP TO Question 4 (Portfolio Upload) ELSE JUMP TO Question 6 (General Feedback).
  3. Preview the live branching flow in the built-in real-time interactive preview canvas on the right side of the screen.

Workflow 3: Typography & Aesthetic Alignment ​

All surveys inherit the Foundation's gallery-grade typographical hierarchy:

Background Palette ​

To prevent visual strain and preserve photographic clarity, surveys default to an Understated Gallery Neutral Gray (#f4f4f4) with high-contrast #111111 typography. Vibrant colors are restricted to interactive confirmation pills.

Workflow 4: Distributing Surveys ​

  • Click Publish to generate a direct link formatted as:
    https://form.tomoffinland.org/s/cmv1...
  • iMessage & Social Sharing: The server automatically injects rich OpenGraph meta tags:
    • Title: ToFF Form | Tom of Finland Foundation
    • Description: Official survey & feedback platform of Tom of Finland Foundation.
    • Preview Image: 1200x630 high-resolution branding card (https://form.tomoffinland.org/og-preview.png).

2. Website & Archive Ingestion Embeds ​

To embed surveys inside the Foundation’s web portals:

Workflow 5: Response Auditing and Exporting ​

  1. From the survey dashboard, click the Responses tab to inspect live metrics.
  2. View response summaries:
    • Completion Rate: Ratio of respondents who finished all mandatory prompts.
    • Average Time: Mean duration spent completing the intake.
    • Drop-off Funnel: Visual representation identifying drop-off bottlenecks.
  3. Click "Export Data":
    • Export to standard .csv or .xlsx format.
    • Confidentiality Warning: Any exported files containing applicant portfolios, phone numbers, or private emails must be moved directly into encrypted institutional storage.
