ToFF Form: Getting Started ​

This guide walks new administrative staff, scholarship committee members, and curators through their initial access and workspace configuration in ToFF Form (https://form.tomoffinland.org).

System Operations & Engineering

This operational system is configured, deployed, and managed by CultureOS. CultureOS is an AI-native practice helping cultural institutions modernize digital infrastructure, archives, and research workflows responsibly.

Step 1: Accessing the Portal ​

  1. Open any modern desktop or mobile browser and navigate to:
    https://form.tomoffinland.org
  2. Enter your authorized Foundation email address (e.g., firstname.lastname@tomoffinland.org).
  3. Click "Continue with Email" to request a one-time cryptographic Magic Link.
  4. Check your inbox for a message from Tom of Finland Foundation <forms@tomoffinland.org>.
  5. Click the secure sign-in link inside the email to enter the platform without requiring a vulnerable static password.

Step 2: Confirming Workspace Integrity ​

Once logged in, verify your environment settings:

  • Brand Verification: Check the top-left sidebar. You should see the authentic Tom of Finland pure black handwritten signature, confirming you are connected to the Foundation's official sovereign production instance.
  • Workspace Selector: Ensure the active workspace reflects the Foundation's primary operational space or your specific committee assignment (e.g., Tom of Finland Foundation Main, 2026 Scholarship Committee).

For enhanced defense against credential theft and phishing:

  1. Click your user avatar in the lower-left corner and navigate to Account Settings.
  2. Select the Authentication & Passkeys tab.
  3. Click "Add Passkey" and follow the browser prompts to register your device authenticator:
    • macOS: Touch ID on MacBook or Magic Keyboard.
    • iOS / iPadOS: Face ID or Touch ID.
    • Hardware Tokens: YubiKey or Titan Security Key.
  4. Once enrolled, future sign-ins can be completed in sub-second time using biometric verification.

Step 4: Exploring the Dashboard ​

The ToFF Form dashboard is organized into four core functional zones:

  1. Surveys: View real-time response rates, completion ratios, drop-off analytics, and live survey URLs.
  2. Contacts & Attributes: Securely query respondent profiles and historical participation records.
  3. Settings & Appearance: Verify the Foundation’s global typography mappings and color palettes.
  4. Integrations: Configure webhooks connecting survey completions to internal databases.
